The
Organization
NJC College was established in 1969 and is the first junior
college in Singapore. Since its founding, it has always been
a premium institution that has produced many famous doctors,
lawyers as well as politicians. The school’s philosophy
is to bring out, to the fullest, each student’s physical,
moral and intellectual potential. This huge task is taken
upon by 130 teachers spread across 10 departments, taking
charge of 1750 students annually. Also, there are over 55
co-curricular activities, which are non-academic based, for
students to be involved in as well.
The
Problems
Mobility of Teachers
Teachers are assigned to NJC from the Ministry of Education.
This means that teachers often teach in more than one school
during their career. The mobility of staff means that often,
the knowledge and expertise of a teacher comes and goes with
him or her as traditional means do not provide an effective
way to keep a track of information, key learnings, experiences
in NJC for the benefit of future use.
Knowledge
Transference
Furthermore, the demography of teachers is slowly changing.
A rush of new blood into the system means that knowledge transfer
is critical so that traditions, knowledge and expertise can
be passed down. Currently, the transfer of such knowledge
is limited to one-to-one sessions, which is highly inefficient.
Instead, the school is actively seeking a one-to-many model
of transference so that new teachers can be brought up to
speed rapidly.
Storing
of Knowledge Assets
The management of information, which range from lecture notes
and transparencies to project outlines to standard operating
procedures, traditionally come in the form of papers in physical
files, files in cabinets and cabinets scattered all around
the teacher’s room. This physical form of storage is
ineffective because:

Tracking the whereabouts of the physical
files is difficult

Locating the right information is
time consuming and physically exhausting
- Files and documents can be easily
misplaced or thrown away

Key pieces of information may be missing
from folders as it may not have been properly organized
Fragmented
Administrative processes
Currently, teachers find it time consuming to carry out standard
operative procedures because not all the tools, forms and
information required are stored at the same places. It is
an unproductive usage of a teacher’s precious resources
when he or she spends hours searching for the right forms
to fill and the right person to hand them over to.
